How Much Does an AI Chatbot Cost in the UK?

An AI chatbot cost UK guide: build versus running costs, four price bands, what pushes the price up, and the hidden costs most quotes leave out.

A polished brass service bell with a blank paper tag tied to it, on a dark surface.

An AI chatbot in the UK has two costs: a one-off build and a monthly running cost. The build ranges from a day of your own time on a subscription platform to several weeks of agency work for a chatbot that books, quotes and writes into your CRM. Running costs are usually modest for small and mid-sized organisations, often a few pence per conversation in model fees plus any platform plan, but you should always get them estimated from your own volumes.

Quotes vary so much because “chatbot” covers very different things. A widget that answers ten questions from your FAQ page and an assistant that checks a member’s renewal status are different jobs. This guide breaks the cost down so you can compare quotes on the same terms.

What are you actually paying for?

Every chatbot quote, however it is presented, is made of the same parts.

  • Content preparation. Gathering, cleaning and structuring the documents the chatbot answers from. Often the biggest single piece of work, and the one most often skipped.
  • Configuration. Instructions, tone, the list of things it must never do, and the route to a person.
  • Integrations. Connections to your calendar, CRM, booking system or helpdesk, if it needs to act rather than only answer.
  • Testing. Running real questions and awkward edge cases with your staff before launch.
  • Running costs. Model usage, the platform or hosting, and any phone or WhatsApp fees.
  • Aftercare. Reviewing transcripts, fixing wrong answers and updating content as your prices and policies change.

AI chatbot price bands in the UK

The bands below describe scope rather than fixed prices, because agency rates differ. Use them to work out which band your project sits in, then compare like with like.

Band What you get Build effort Typical running cost model
1. DIY platform A widget trained on your website, set up by you A day or two of your time Monthly subscription, sometimes plus usage
2. Configured Q&A Agency-built assistant on your own documents, tested, with handover to a person A few days Model usage plus hosting or platform plan
3. Integrated assistant Also books, quotes, logs enquiries or checks records in your systems One to several weeks As band 2, plus integration platform fees
4. Multi-channel or regulated Website, WhatsApp and phone, or sensitive data needing a DPIA and audit trail Discovery first, then phased As band 3, plus telephony and monitoring

To turn build effort into pounds, multiply by the supplier’s day rate, and ask for a fixed price once the scope is written down. For reference, we quote each chatbot as a fixed build price plus the monthly running cost. A single chatbot is usually a few days of work, and our prepaid block of 3 Kickass Days is £2,400 + VAT.

How much does it cost to run an AI chatbot each month?

Running costs have three parts.

Model usage

Model providers charge per token, roughly per word fragment, with separate rates for the text sent in and the text generated. At the time of writing (late 2026), Anthropic’s published pricing for its mid-range Sonnet model is $2 per million input tokens and $10 per million output tokens, with cheaper and more expensive models either side.

A worked estimate, with stated assumptions: a six-message conversation where each message sends about 4,000 tokens (instructions, retrieved passages from your documents and the conversation so far) and returns about 200 tokens. That is 24,000 input tokens and 1,200 output tokens, or about six US cents per conversation at those rates. At 1,000 conversations a month, model fees come to around $60. Your numbers will differ with longer documents, longer conversations or a different model, which is why you should ask for an estimate from your own volumes.

Platform or hosting

If the chatbot runs on a commercial platform, expect a monthly plan, and sometimes a charge per conversation or per outcome on top. Pricing units vary widely. Intercom, for example, lists its Fin agent at $0.99 per outcome at the time of writing. If it is built on your own infrastructure, the cost is hosting and the automation platform plan.

Channels

WhatsApp Business and phone lines carry their own fees. A voice channel costs far more per minute than text, which we cover in a separate post on voice agents.

What makes an AI chatbot cost more?

Five things move a quote up most:

  1. Messy content. Contradictory PDFs, out-of-date pages and policies that live in someone’s head. Fixing these is real work, and a chatbot built on poor content gives poor answers.
  2. Actions, not answers. Every system the chatbot reads from or writes to adds build and testing time.
  3. Identity checks. Anything that discusses a specific customer’s account needs verification, which adds design and security work.
  4. Regulated advice. Law, finance and health need tighter limits, more testing and a clear audit trail.
  5. Several channels. Website, WhatsApp and phone each behave differently and each needs testing.

What hidden costs do AI chatbot quotes leave out?

These are the costs we see missed most often.

  • Staff time in testing. Someone who knows the answers has to check the chatbot’s. Budget a few hours across the build.
  • Monthly review. Reading transcripts and correcting wrong answers. An hour or two a month for a simple chatbot, more at high volumes.
  • Content upkeep. When prices or policies change, the chatbot’s sources must change too.
  • Data protection work. Updating your privacy notice, adding the provider to your processor records and, for higher-risk uses, a data protection impact assessment.
  • Platform lock-in. If the chatbot lives inside a supplier’s proprietary platform, leaving later may mean a rebuild.
  • Markup on usage. Some suppliers resell model usage at a margin inside a “platform fee”. Ask what the underlying usage costs.

How to get a quote you can compare

Send every supplier the same short brief:

  1. The top 20 questions customers ask, with your current answers.
  2. Monthly volume of enquiries by channel.
  3. The systems the chatbot must read from or write to, if any.
  4. What it must never do.
  5. Who will review it after launch.

Then ask each one for a fixed build price, an estimated monthly running cost at your volumes, and a statement of who owns the accounts and content. Our guide on how to choose an AI agency in the UK lists the follow-up questions worth asking, and what an AI automation agency does explains how the work is usually structured.

Is a chatbot worth it?

It is worth it when the same questions arrive often enough that answering them costs real staff time, and when the answers already exist in writing. If customers ask because your website does not answer clearly, fix the page first; it costs less and helps search too. The membership workflows that pay back in a quarter show how to estimate the saving before you build.

Where we fit

We build chatbots on your own documents and accounts as part of our AI integrations work, quoted as a fixed build price with the running cost stated up front. If you are not sure which band you are in, send us your top 20 questions and we will tell you.

Questions about How Much Does an AI Chatbot Cost in the UK?

What is the cheapest way to get an AI chatbot?

A subscription chatbot platform that you set up yourself, pointed at your website, is the cheapest route. It suits simple question answering on a small site. It will not act in your CRM or calendar without extra work, and you carry the testing and monitoring yourself.

Do AI chatbots charge per conversation?

Some do. Platforms price in different ways, including per seat, per conversation, per resolved outcome or per message, and model providers charge per token. Ask for an estimate based on your monthly conversation volume so you can compare quotes on the same basis.

How long does it take to build an AI chatbot?

A chatbot that answers questions from your own content is usually a few days of build work, plus testing with your team. One that books appointments, checks accounts or writes into a CRM takes longer, because each connection has to be built, secured and tested.
