Purpose: This policy sets out Kickass Online Ltd's ('KO') commitment to reducing our environmental impact and operating as a responsible, sustainable business. As a fully remote digital agency, our environmental footprint differs from that of a traditional office-based business — and we are committed to addressing it honestly and practically.
Scope: This policy applies to all KO employees and covers all business operations and activities carried out on behalf of KO.
Our Environmental Context
KO is a fully remote digital agency. We have no physical office premises. Our primary environmental impacts are therefore:
- Energy consumed by employees' home working setups and personal devices
- Carbon associated with the cloud infrastructure and digital services we and our clients use (including Google Workspace and third-party platforms)
- Business travel for client meetings, networking events, and team meetups
- Supply chain choices around software, tools, and contractors
We will not pad this policy with commitments that do not apply to our operations. Instead, we focus on the areas where we can make a genuine difference.
Sustainable Operations
KO is committed to operating as efficiently as possible. In practice this means:
- Defaulting to remote meetings (Google Meet) over in-person travel wherever possible
- Choosing cloud-based, energy-efficient platforms and tools where alternatives exist
- Encouraging employees to use energy-efficient devices and to power them down when not in use
- Considering environmental impact alongside cost and quality when selecting new tools, platforms, and suppliers
Digital Carbon Footprint
Digital services have a real — if often invisible — environmental cost. KO will:
- Be mindful of the carbon impact of large file transfers, excessive video streaming at high resolution, and unnecessary data storage
- Periodically review cloud storage and archived data to reduce unnecessary digital waste
- Consider the environmental credentials of hosting providers and platforms when making procurement decisions
- Encourage clients, where relevant, to consider sustainable hosting options as part of web projects
Business Travel
Where travel is necessary (client meetings, networking, team meetups), KO will:
- Prioritise rail over air travel for UK journeys
- Encourage the use of public transport where practicable
- Offset unavoidable travel emissions through a recognised carbon offset scheme where feasible
- Consider the environmental impact of international team meetups (such as annual team gatherings) and seek to minimise unnecessary journeys
Green Procurement
When selecting suppliers, tools, and services, KO will consider environmental and ethical credentials alongside cost and quality. We will favour suppliers who can demonstrate a commitment to sustainability, and avoid single-use materials and unnecessary physical deliverables where digital alternatives exist.
Compliance with Environmental Legislation
KO will comply with all applicable environmental legislation. Key frameworks we monitor include:
- Climate Change Act 2008 and associated UK net zero targets
- Environment Act 2021
- Streamlined Energy and Carbon Reporting (SECR) — KO currently falls below the mandatory reporting threshold (250 employees or £36m turnover) but commits to monitoring its carbon footprint as a matter of best practice
Employee Involvement
All employees are encouraged to consider their environmental impact as part of their working day. This includes energy use at home, travel choices, and flagging opportunities for KO to operate more sustainably. Suggestions can be raised with the line manager at any time.
Monitoring and Transparency
KO will conduct an annual review of its environmental performance, including an assessment of our primary impacts and any progress made against commitments. Findings will be shared with the team. We will not publish metrics we cannot substantiate.
Continuous Improvement
We recognise that our understanding of our environmental impact will develop over time. This policy will be reviewed and updated annually to reflect new information, legislation, and best practice.
